About the role
We are looking for an Account Operations Specialist to own hiring operations and coordinate client-driven operational requests on active accounts.
This role acts as a direct point of contact for clients on hiring and operational topics, ensuring clear communication, predictable processes, and smooth coordination with internal teams (Recruiting, HR, Office Management).
Execution is handled by Office Management, HR, and Recruiting teams, while this role owns coordination, communication, and planning.

Responsibilities
- Hiring & Staffing (core focus)
- Own hiring operations for assigned accounts
- Coordinate hiring processes between customers, recruiters, and HR
- Provide clear hiring updates, timelines, and risk visibility
- Manage replacements and staffing changes
- Account Operations (coordination only)
- Collect and clarify client requirements for:
- events and team activities
- employee travel and visas
- client visits
- gifts and merchandise
- Align scope, timelines, and budgets
- Coordinate execution with the Office Management
- Track and report additional costs
- Collaboration & Reporting
- Work closely with Account Managers on priorities and risks
- Maintain structured trackers and documentation
- Identify process gaps and improvement opportunities
Requirements
- Experience in account operations, hiring coordination, or client-facing operational roles
- Background in IT services, outsourcing, or staff augmentation
- Fluent English C1+ is a must
- Strong communication and coordination skills
- Comfortable working directly with international clients
- Strong experience working with spreadsheets (Google Sheets / Excel)
- Confident use of client communication tools (email, Slack, Zoom or similar)
- Ability to manage multiple parallel requests in a structured and predictable way
Nice to have
- Experience working with ATS or hiring coordination tools
- Experience working with internal tracking systems used for managing accounts, hiring, or operational requests (e.g. Fibery, Notion, Airtable, or similar)
- Experience with basic budget or cost tracking
