When you choose On The Spot to help you set up your R&D team, we fully manage the operational and back-office side, including:

  • workplace infrastructure and equipment
  • employee benefits
  • legal and administrative support
  • day-to-day operational processes

Some benefit details may vary depending on the employee’s location.

Below is a breakdown of each area.

— Office in the center of Warsaw

We provide a modern office in a high-quality business center in the very center of Warsaw, at Prosta 51, conveniently located next to a metro station.

The majority of teams work in their own dedicated spaces, while smaller teams may share a workspace. At the same time, all teams have access to shared common areas such as the kitchen and relaxation zones.

— Hardware

On The Spot provides all essential work equipment from day one. A Mac laptop is provided by default, unless a different setup is requested by the customer. Additional equipment such as monitors, mice, keyboards is available upon request.

In addition, every employee receives a $100 yearly budget for extra hardware based on personal preferences. The most common requests are headphones, chargers and power adapters, cables and connectors, laptop and phone stands, desk lamps and mats.

Since most of our employees work under B2B contracts, we help them with comprehensive legal and administrative support, covering both professional and personal needs, including:

  • Legalization & relocation: initial support with Polish national ID number (PESEL) and address registration, residence permits, health insurance, assistance for relocating families and family member legalization.​
  • Legalization of stay: Preparation of documents for obtaining temporary and permanent residence permits, preparation of appeals and the full process of support.
  • Business setup: guidance on choosing the right business activity and legal structure, company registration in the Polish business registry (CEIDG), reporting to social insurance institutions (ZUS) and the Tax Office, selection of the tax system.​
  • Accounting, tax & reporting: ongoing bookkeeping, ZUS and tax declarations (personal income tax, value added tax), handling VAT and JPK (standard audit files for tax), cost verification, tax optimization, monitoring of legal and tax changes, scenario analysis for new business decisions.​
  • Banking support: assistance with opening and managing personal and business bank accounts, resolution of banking issues, switching financial providers.​
  • Crisis & legal support: assistance with tax fines and frozen accounts, inspections and audits, representation before ZUS and the Tax Office, appeals and complex tax, insurance, labor, and immigration matters.

— Medical insurance

Private medical insurance is available to employees from their first working day.

  • For employees in Poland, medical insurance is provided through LUXMED. Family members can be added to the plan, but the employee covers their cost independently.
  • For employees in Belarus, medical insurance is provided through LODE. Employees receive a fixed annual budget they can use according to their needs.


— Sports and physical activity

From the first working day, employees get access to a sports membership that gives them entry to a wide range of sports and wellness facilities, including gyms, swimming pools, yoga studios, and more.

In Poland, employees use MultiSport. In Belarus, the equivalent program is AllSports.

On The Spot covers 50% of the membership cost, while the employee covers the remaining 50%.

Employees can also extend the membership to friends and family members, but these additional costs are covered by the employee independently.

We help employees improve their skills and advance professionally.

— Education budget

Starting from their first working day, each employee receives a yearly education budget of $300.

The budget can be used for professional courses, books, certifications, professional conferences, and language courses.

— English courses

Corporate English classes are fully free for employees. They are held once a week online, outside working hours.

To help R&D teams connect, grow their expertise, and contribute to the culture of knowledge sharing, we drive the following initiatives:

  • TechSpot — tech events in Warsaw and online. These events bring together around 200 engineers from different domains to discuss software architecture, system design, and best practices. We invite top engineering minds from leading companies such as Wise, Flo Health, Amazon, Google, and Red Hat to share their expertise and insights.   • 137 Podcast — conversations with CTOs, engineers, and tech leaders about the realities of the industry. You can follow us on X, watch episodes on YouTube or listen on Spotify or Apple Podcasts.
  • Team Lead Club — regular group sessions for R&D team leaders from On The Spot, uniting leaders from different product teams. We provide a unique opportunity to exchange experiences, share solutions to common challenges, and grow professionally by learning from peers across diverse domains.

— Corporate events

Twice a year, we organize company-wide events, typically in summer and winter. These gatherings are held off-site and bring people together across teams.

— Office parties

About once a month, we have in-office events to celebrate holidays, company milestones, or shared interests. These include movie nights, open mics, quizzes, Halloween parties, and other informal gatherings.

— Weekly Pizza Fridays

Every Friday, we bring teams together for informal hangouts in the kitchen, with snacks and soft drinks. It’s a small tradition that encourages connection between departments.

— Team buildings

Individual teams may also organize their own team-building activities, initiated by team leads or tied to international managers’ visits. Each team has access to a yearly team-building budget of $40 per employee.

— Custom team activities and events on request

Our customers are welcome to add their own team activities and happy hours, which we help organize locally for their teams. These can include hackathons, workshops, off-sites, or any other team-building format needed to support your R&D team.

We mark key milestones and life events in our employees’ journeys with gifts and financial support.

— Bonuses

  • Life events: $300 gross payment for major life events such as marriage, childbirth, or the loss of a close relative.
  • Referral program: employees who have successfully recommended a new team member receive bonuses from $500 to $3000, depending on the complexity of the position.
