What’s included in our back-office support
When you choose On The Spot to help you set up your R&D team, we fully manage the operational and back-office side, including:

— Office in the center of Warsaw
We provide a modern office in a high-quality business center in the very center of Warsaw, at Prosta 51, conveniently located next to a metro station.
The majority of teams work in their own dedicated spaces, while smaller teams may share a workspace. At the same time, all teams have access to shared common areas such as the kitchen and relaxation zones.
We also provide 10 dedicated parking slots, each assigned to a specific employee. The cost is shared 50/50, with the employee paying $100 per month.

— Hardware
On The Spot provides all essential work equipment from day one. A Mac laptop is provided by default, unless a different setup is requested by the customer. Additional equipment such as monitors, mice, keyboards is available upon request.
In addition, every employee receives a $100 yearly budget for extra hardware based on personal preferences. The most common requests are headphones, chargers and power adapters, cables and connectors, laptop and phone stands, desk lamps and mats.

Since most of our employees work under B2B contracts, we help them with comprehensive legal and administrative support, covering both professional and personal needs, including:
- Legalization & relocation: initial support with leases, Polish national ID number (PESEL) and address registration, residence permits, health insurance, assistance for relocating families with schooling, medical visits, housing, and family member legalization.
- Business setup: guidance on choosing the right business activity and legal structure, company registration in the Polish business registry (CEIDG), reporting to social insurance institutions (ZUS) and the Tax Office, selection of the tax system.
- Accounting, tax & reporting: ongoing bookkeeping, ZUS and tax declarations (personal income tax, value added tax), handling VAT and JPK (standard audit files for tax), cost verification, tax optimization, monitoring of legal and tax changes, IP Box consulting, scenario analysis for new business decisions.
- Banking support: assistance with opening and managing personal and business bank accounts, resolution of banking issues, switching financial providers.
- Crisis & legal support: assistance with tax fines and frozen accounts, inspections and audits, representation before ZUS and the Tax Office, appeals and complex tax, insurance, labor, and immigration matters.

— Private medical insurance
We fully cover private medical insurance for every employee. The average cost of this insurance is around $550 per employee per year.
We also support employees’ families by covering 50% of the insurance cost for family members.
— Sports and physical activity
Employees get access to the MultiSport program — a membership that allows entry to a wide range of sports and wellness facilities, including gyms, swimming pools, yoga studios, and more.
We cover 50% of the membership cost, and the employee pays the remaining 50%.

We provide resources and programs to help R&D teams continuously improve their skills and advance professionally.
— Education budget
Each employee receives a yearly education budget of $300. They can use this budget for professional courses, technical or business literature, certifications, and conference attendance.
— Language learning
We support both professional and personal integration by offering English and Polish language classes to employees.

To nurture a strong learning spirit, we create opportunities for R&D teams to connect, grow their expertise, and contribute to a culture of knowledge sharing.
We do this through:
- TechSpot — tech events for the local tech community. Held at Google Campus Warsaw, these events bring together around 200 engineers from different domains to discuss software architecture, system design, and best practices. We invite top engineering minds from leading companies such as Wise, Flo Health, Amazon, Google, and Red Hat to share their expertise and insights. - 137 Podcast — honest, engaging conversations with CTOs, engineers, and tech leaders about the realities of the industry. You can follow us on X, watch episodes on YouTube or listen on Spotify or Apple Podcasts.
- Team Lead Club — regular group sessions for R&D team leaders from On The Spot, uniting leaders from different product teams. We provide a unique opportunity to exchange experiences, share solutions to common challenges, and grow professionally by learning from peers across diverse domains.

— Corporate parties and internal events
Twice a year, we organize large off-site corporate events for the entire company. In addition, we regularly host in-office events — roughly once a month — to celebrate holidays, company milestones, or shared interests. These include movie nights, open mics, quizzes, Halloween parties, and other informal gatherings.

Each team gets access to a yearly team-building budget of $40 per employee, which can be used to organize a dedicated team-building activity once a year.
— Weekly Pizza Fridays
Every Friday, we bring the team together with Pizza Fridays and order pizza, sushi, and soft drinks. It’s a simple tradition that creates space for informal conversations and connection.

— Custom team activities and events on request
We can organize custom team activities and events on client request, including hackathons, workshops, off-sites, or any other team-building format needed to support your R&D team.

In general, our customers are welcome to add their own team activities and happy hours, which we help organize locally for their teams at our Warsaw office.
